Email Options and Security settings control email access and sending through Security Settings, Role Restriction Settings, and Failed Email Alert Settings. Navigate to the Communications tab of Global Settings to view the Email Options and Security settings.
Security Settings
The Email Settings menu includes the following options under the Security section.
| Setting | Description |
|---|---|
| Enable Role Restrictions | Sets which roles can send email to other roles and limits the filtering options when searching for recipients. Works together with the User Roles settings. |
| Enable Default From Address | Sets the email address used as the default From address when composing an email; this address is also used by default in all workflow emails. When an SMTP relay is not in use, this address must match the SmartSimple domain, for example donotreply@smartsimplemailer.ca or donotreply@smartsimplemailer.com. Using a smartsimplemailer domain allows bounce-back messages to be received. |
| Allow users to edit the From Address when composing emails | If this is not toggled on, the Default From Address will be used. |
| Additional From Address | Use a semicolon (;) as the delimiter. |
| Recipients Under Association Company | Allows users associated with a company to act as recipients. |
| Enable on Behalf Of | When there is a mismatch between the domain used by the sender and the domain used in the From Address, the email address configured will be used as the From Address in the email header. This setting is not commonly used. |
| Enable Reply-To | Sends email with the Reply-To set to the specified From address. This setting is not commonly used for spam filter purposes. |
Role Restriction Settings
When Enable Role Restrictions is active, the following settings determine role permissions. Click each box to reveal a drop-down menu of the roles available in the site.
| Setting | Description |
|---|---|
| Email Broadcast Manager Roles | Roles that should have access to create and send email broadcasts. |
| Restrict Email Access | Limits recipients for users in the selected roles. The email address field on new emails becomes read-only. If a user clicks an email address they are not permitted to contact, a message indicates they lack permission. |
| Restrict Instant Message Access | Roles that should not have access to Instant Messaging. This setting is not recommended. |
Failed Email Alert Settings
Failed emails can also be accessed in the Message Queue. The following settings, found in Email Options and Security in Global Settings, configure the failed email alert.
NOTE This setting only works for emails sent from the system that can pull a bounce back, for example smartsimplemailer.com.
| Setting | Description |
|---|---|
| Frequency | Monitors failed emails from the Message Queue and sends an automatically generated email notifying senders based on the failed email template. |
| From Address | Must include a From address. A missing From address is a common cause of failed email. |
| To Address | The staff or system administrator recipients who should be notified of failed email. |
| Subject | The subject of the alert, such as Failed to Send Email. Maximum length is 255 characters. |
| Body | The content of the alert sent to recipients. |
