What Is the Assignment Grid
The Assignment Grid is a feature available on UTA/modules configured as Providers. It displays a grid on the Provider record where contacts can be assigned to Consumer records in bulk. The grid controls which Consumer records and contacts appear and which roles are available for assignment.
The feature includes three configurable components:
Assignment Grid Settings – Restricts which Consumer records appear in the grid by type and status, limits which Provider contacts can be assigned, and defines the roles available for assignment.
Assignment Declaration Buttons – Controls how assigned contacts formally accept or decline assignments, including button labels, optional comment fields, level 2 record creation, and redirect behavior.
Assignment Reminder Settings – Sends up to three reminder emails before a defined expiry date and automatically assigns contacts to a specified role if they do not respond.
When to Use the Assignment Grid
Use the Assignment Grid when:
- A Provider UTA/module must assign multiple contacts to Consumer records in a structured, repeatable way.
- Contacts need to formally accept or decline assignments before work begins.
- Automated reminder emails are needed to follow up with contacts who have not responded to an assignment request.
- Contacts who do not respond by a deadline need to be automatically reassigned to a different role.
- Reviewers from a Committee or Panel record must be hand-selected and assigned to individual applications.
- Reviewer roles vary by application and by reviewer, and the assigned role dictates each reviewer's behavior and responsibilities.
How the Assignment Grid Works
The Assignment Grid is accessed from the Level 1 Provider record in edit mode. It displays Consumer records along the left side and contacts across the top. The Consumer records shown match the type and status configured in Assignment Grid Settings. The contacts shown are those assigned to the Provider record in roles that match the Contact Role Filter setting.
To assign a contact, select the role at the intersection of the contact column and the Consumer record row. After saving, the contact is added to that Consumer record in the selected role and can access Declaration Buttons in the configured list view.
Contacts use Declaration Buttons to formally accept or decline the assignment. Depending on the configuration, the response updates the contact's role in the Consumer record and may create a Level 2 record. If a contact does not respond by the expiry date set in Assignment Reminder Settings, the system automatically assigns that contact to the configured expired role.
