Configure AI Driven Application Summaries

AI-Driven Application Summaries turn complex applications into concise, consistent insights. Summaries appear in a side panel, helping teams quickly understand key details of an application. Administrators control when the summary runs automatically, who can view the AI summary, and which fields are included. Users with access can generate and regenerate summaries on demand.

When to Use AI-Driven Application Summaries

Use AI-driven application summaries to:

• Quickly understand key details of an application without reading through the full submission.
• Provide reviewers with a focused view of applicant responses during evaluation.
• Support discussion by surfacing what makes an application stand out.

Summary Types

Administrators can choose from three predefined summary types:

• Quick Summary - A brief overview for initial intake.
• Reviewer Summary - A focused summary of the applicant's responses for evaluation.
• Strengths-Focused Summary - Highlights what makes the application stand out to support discussion.

Configure AI-Driven Application Summaries

To configure AI-driven application summaries for a UTA/module:

1. Click the Menu icon in the upper navigation bar, and then select the UTA/module.
2. Click the Configuration Settings gear icon.

3. Click the General tab.

4. Locate the +AI section, and click Application Summary.

5. Click the New Application Summary Setting [+] button to configure the summary settings.

6. Add the applicable information:
   • Name - Provide a name for the summary.
   • Description - Provide a description (optional).
   • Available Grant Types - Select the grant types to summarize.
   • Trigger on Grant Status - Select the grant status that will start the summarization process. The statuses available match those already configured in your system.
   • Allow View - Select the user roles that will have access to the summary results. The user roles available match those already configured in your system.
   • Predefined Prompts - Select a prompt to define the type of summary you want.
     • Quick Summary - A brief overview of the application for initial intake.
     • Reviewer Summary - A focused summary of the applicant's responses for review.
     • Strengths-Focused Summary - Highlights what makes the application stand out to support discussion.
   • Fields for AI Summary - Select the fields to be summarized by the AI. To keep certain fields out of the summary (such as applicant name, contact details, or other personal information), leave them unselected.

7. Click Save.

View AI Application Summaries

To view the AI Application Summary for a grant record:

1. Click the Menu icon in the upper navigation bar, and then select the appropriate UTA/module.
2. Click Open for a specific grant record.

3. The AI Application Summary appears in the right panel of the grant record.
