Organization categories classify the organizations in a SmartSimple site, much like roles classify users and types classify Universal Tracking Applications (UTAs)/modules. A category is searchable by name or ID, can apply to many organizations at once, and controls which custom fields and permissions apply to the organizations assigned to it.
Who: Global administrators
When to Use Organization Categories
Use organization categories when:
- Organizations need to be grouped by a shared characteristic, such as cause, sector, or relationship type.
- A specific set of custom fields should display only for organizations that share a characteristic.
- Organizations need to be filtered or searched by a common attribute in list views.
- Field or feature access needs to be controlled for a group of organizations through role-based permissions.
How Organization Categories Work
Multiple Categories
An organization can belong to several categories at the same time. The categories currently assigned to an organization appear on its profile.
Category ID
Each category has a category ID, a numerical value the system assigns to it. Advanced Logic and Visibility Conditions use the category ID to control behavior based on the category of the current user’s organization.
For example, a Visibility Condition can restrict a field so that it appears only for organizations in a specific category.
Security Implications
Role Permissions determine which roles can access an organization category. When roles are assigned to a category, only those roles can work with the category and the fields tied to it.
Category-based field availability also controls what users see. Including or excluding a custom field for specific categories determines whether that field appears for organizations in those categories.
