SmartCards store and organize commonly used object data so users can access frequently referenced records quickly from a single location. A SmartCard is a saved collection of object records, associated with a specific object type, that displays up to three fields per record as configured by an administrator. SmartCards are accessed from the User Menu and organized into two views: records the user created and records shared with the user by other users.
Who: Any user with permission to access SmartCards. Global administrators configure SmartCard settings.
When to Use SmartCards
Use SmartCards when:
- A collection of records needs to be saved for quick, repeated access.
- A set of frequently used records needs a bookmark-style reference point.
- A specific set of records needs to be shared with a team or role so members can reference the same records without searching individually.
- Records from multiple object types, such as User, Organization, or Transaction records, need to be grouped together for quick navigation.

How SmartCards Work
Display Settings
Each SmartCard displays up to three fields per record. An administrator configures which fields appear for each object type using the SmartCard Item Display Settings page. Administrators can choose from standard fields, common custom fields, or Type/Role/Category-specific custom fields.
Permissions
The Enable SmartCard setting in System Feature Permissions controls access to SmartCards. Administrators assign this permission to the roles that should be able to create, add objects to, and access SmartCards.
Sharing
SmartCards can be shared with other authorized users either individually or by system role. Shared SmartCards appear in the Shared with Me tab and can be viewed but not edited, deleted, or reshared by recipients.
My SmartCards vs. Shared with Me
The SmartCards page contains two tabs:
- My SmartCards — SmartCards created by the current user. The owner can edit, delete, and share these.
- Shared with Me — SmartCards created by other users and shared with the current user. These can be viewed but not edited, deleted, or reshared.
