Type formulas let Level 1, Level 2, and Level 3 records in a UTA/module run advanced calculations and logical operations in their formula fields. Each level can hold formulas in two places: a general formula that applies to every record at that level, and a type formula that applies only to records of a specific type. When to Use Type Formulas
Use type formulas when:
- Amounts on related Level 2 records need to total on the Level 1 record, such as a total paid and remaining balance from individual payment records.
- A record name should build automatically from other fields, such as combining an organization name and program year, or a contact's first and last name.
- A calculation should apply only to records of a specific type rather than to every record at that level.
Enable the Type Standard Field
Type formulas run only when the type standard field is enabled at the relevant level. The type standard field is enabled in the same standard fields settings used for other standard fields.
To enable the type standard field:
- Click the Menu icon in the upper navigation bar, and then select the relevant UTA/module from the Applications drop-down menu.
- Click the Configuration Settings gear.
- Click the Level 1, Level 2, or Level 3 tab.
- Locate the General Settings section, and then click Standard Fields.
- Click the edit [pencil] icon to the left of the field with the name Type in it.
- For Level 1, the name is Application Type.
- For Levels 2 and 3, the name is Activity Type.
- Change the caption if necessary, and then click Save.
Add a General Formula
The general formula applies to all records saved at a level.
To add a general formula:
- Click the Menu icon in the upper navigation bar, and then select the relevant UTA/module from the Applications drop-down menu.
- Click the Configuration Settings gear.
- Click the Level 1, Level 2, or Level 3 tab.
- Locate the Features and Options section, and then click the Formula field.
- Enter the formula. See Type Formulas Reference.
- Separate multiple formulas with a semicolon.
- Click Save.
Add a Type Formula
A type formula applies only to records that use a specific type. It is set on the Type page for Level 1, Level 2, or Level 3.
To add a type formula:
- Click the Menu icon in the upper navigation bar, and then select the relevant UTA/module from the Applications drop-down menu.
- Click the Configuration Settings gear.
- Click the Level 1, Level 2, or Level 3 tab.
- Locate the General Settings section, and then click Types.
- Click the edit [pencil] icon next to the type you want to configure.
- Click the Process tab.
- Click the Formula.
- Enter the formula. See Type Formulas Reference.
- Separate multiple formulas with a semicolon.
- Click Save.
